Outlook Accounting and Taxes ("Company," "we," "us," or "our") provides the FP&A Platform, a financial planning and analysis platform for accounting firms (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard information when you access or use the Service. This Policy applies to our customers (accounting firms and their authorized users, "Customer" or "you") and, where applicable, to the end clients of our customers whose data may be processed through the Service. By using the Service, you agree to the collection and use of information as described in this Policy.

Note on Customer Data: To the extent Customer submits its own clients' financial or personal information into the Service ("Customer Client Data"), Company acts as a service provider / processor on Customer's behalf, and Customer (not Company) is responsible for ensuring it has the right to share that data with us and for complying with its own obligations to its clients. This Policy describes our practices as the processor of that data as well as our practices regarding data we collect directly, such as account and usage data.

1. Information We Collect

1.1 Account and Contact Information

When you register for or use the Service, we collect information such as your name, business email address, company name, job title, phone number, and billing/payment details.

1.2 Financial and Client Data

Customers and their Authorized Users may upload, enter, or connect financial records, general ledger data, client lists, tax and accounting information, and related financial/client data in order to use the Service's planning and analysis features. This data is Customer Client Data as described above, and we process it only as instructed by Customer and as necessary to provide the Service.

1.3 Usage and Device Data

We automatically collect information about how you interact with the Service, including IP address, browser type, device identifiers, pages viewed, features used, timestamps, and referring URLs.

1.4 Cookies and Similar Technologies

We use cookies, web beacons, and similar technologies to operate the Service, remember preferences, authenticate sessions, and understand how the Service is used through product analytics tools. You can control cookies through your browser settings, though disabling cookies may limit certain features of the Service.

2. How We Use Information

We use the information we collect to:

  • provide, maintain, and improve the Service, including generating financial plans, reports, and analyses requested by Customer;

  • authenticate users, manage accounts, and process billing and payments;

  • provide customer support and respond to inquiries;

  • monitor, analyze, and improve the performance, security, and usability of the Service through product analytics;

  • detect, prevent, and address fraud, abuse, security incidents, and technical issues;

  • communicate with you about updates, features, and administrative notices; and

  • comply with applicable legal obligations.

We do not sell Customer Client Data, and we do not use Customer Client Data to train models or for any purpose other than providing and improving the Service, except with Customer's consent or in de-identified, aggregated form as described in Section 4.

3. How We Share Information

We do not sell personal information. We may share information as follows:

  • Service Providers: with vendors who perform services on our behalf, such as cloud hosting, payment processing, customer support tooling, and product analytics, under contractual confidentiality and data protection obligations;

  • Within Customer's Organization: Customer Client Data and account activity may be visible to other Authorized Users within the same Customer organization, as configured by Customer;

  • Legal Compliance: where required to comply with applicable law, regulation, legal process, or governmental request;

  • Business Transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to standard confidentiality protections; and

  • With Consent: for any other purpose disclosed to you with your consent.

4. Aggregated and De-Identified Data

We may create aggregated or de-identified data derived from usage of the Service that does not identify Customer, any Authorized User, or any individual. We may use this data for benchmarking, analytics, and to improve our products and services.

5. Data Retention

We retain account data and Customer Client Data for as long as Customer's Subscription is active, and for a reasonable period afterward to allow for data export, as required by law, or as needed to resolve disputes and enforce our agreements. Customer may request deletion of its data by contacting us as described in Section 10, subject to any legal or contractual retention requirements.

6. Data Security

We maintain administrative, technical, and physical safeguards designed to protect information against unauthorized access, disclosure, alteration, and destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Privacy Rights

Depending on your state of residence, you may have rights under applicable U.S. state privacy laws (such as the California Consumer Privacy Act and similar laws in other states), which may include the right to:

  • know what personal information we have collected about you and how it has been used and disclosed;

  • request access to or a copy of your personal information;

  • request correction of inaccurate personal information;

  • request deletion of your personal information, subject to certain exceptions;

  • opt out of the sale or sharing of personal information (we do not sell or share personal information for cross-context behavioral advertising); and

  • not be discriminated against for exercising these rights.

Where Customer submits Customer Client Data to the Service, requests from that Customer's clients relating to their personal information should generally be directed to Customer, as Company acts as a service provider with respect to that data. To exercise your rights regarding your own account information, contact us using the information in Section 10. We will verify your request and respond within the timeframe required by applicable law.

8. Children's Privacy

The Service is intended for business use by adults and is not directed to children under 16. We do not knowingly collect personal information from children. If we learn that we have collected personal information from a child in violation of applicable law, we will take steps to delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. We will post the updated Policy with a new effective date and, for material changes, will provide reasonable notice as required by law. Your continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
